Accommodation arrangements:

Conference organiser (SAIA, n. o.) can book and cover accommodation (up to 2 nights) in the Austria Trend Hotel Bratislava or in the nearby area for limited number of participants from donor states – Iceland, Liechtenstein or Norway.

The conference itself is a one-day event held on 25 January 2017, the room can be arranged for a night before or after the event or for both noghts (please indicate in the registration form).

In case you are interested in accommodation provided by SAIA, n. o., please register on-line for the conference at the latest on 18 January 2017 and mark in the registration form which nights do you intend to stay in Bratislava. The confirmation of your request will be sent individually to your email address, depending on the available capacity. Please note that the rule “first come - first serve” will apply.

In case of cancellation of confirmed accommodation by the participant that will lead to charging any fee by the hotel, the participant will be obliged to pay all costs related to cancellation of accommodation.

 


Travel arrangements and reimbursement procedure:

The best way to get to Bratislava is to take flight to Vienna Airport. The bus to Bratislava city centre leaves from the airport every 30 minutes. The trip to Bratislava takes approx. 1 hour. Another option is to take flight directly to Bratislava, but as long as this airport is served mostly by low-cost flight companies, it might be a little challenging.

You are kindly asked to make your own travel arrangements and book your travel tickets. Organiser will reimburse travel costs for limited number of participants from donor states – Iceland, Liechtenstein or Norway - after the event, not later than 20 days after receiving all requested documents (see further). The limit for one person and one trip is 750 EUR. Please note that the rule “first come - first serve” will apply.

Travel arrangements can be reimbursed only for participants who have registered on-line and marked in the registration form itself travel costs reimbursement request and will sign the attendance sheet. For reimbursement travel documents dated not more than one day before the event and one day after the end of the event (24 – 26 January 2017) will be accepted.

Travel expenses will only be reimbursed if the expenses are reasonable and properly documented. Please, keep original travel documents (tickets, boarding passes, etc.) and invoices when applicable.

What can be reimbursed?

  • air ticket: economy-class;
  • train or bus ticket: second class and seat reservation;
  • local transport;
  • Please note that the costs of using taxis can only be reimbursed in exceptional cases (e. g. very late arrival or very early departure)!

 

Reimbursement procedure includes 2 cases:

Refund request:

  • After the event, you can submit a simple reimbursement form to the event organiser.
  • Signed reimbursement form with supporting documents (boarding pass, electronic or paper flight ticket, train ticket, bus ticket, local transport ticket, reservation ticket, baggage fee, etc., in your accounting retain a copy) should be delivered to the organiser by post no later than 20 days after the end of the event.
  • The form with required supporting documents should be delivered to the following address: SAIA, n. o., Sasinkova 10, 812 20 Bratislava 1, Slovakia. The following shall be written on the envelope/parcel: EEA Scholarship Programme Slovakia.
  • As soon as we receive the reimbursement form with required supporting documents and check the eligibility of the costs claimed we will send the claimed amount to the account indicated in the form, no later than 20 days after receiving all requested documents.
